Site creation workflow refresh

To create a smoother and simpler experience when adding a new Site, a dedicated Add New Site button is now at the top of the My Websites page. Previously, the option was nested in the Manage Site dropdown.

In addition, the workflow for adding a new Site now begins in a pop-up instead of a dedicated page. In the pop-up, select a template and enter a Site name, then click Add New Site. After the new Site is created, you can continue editing profile data for the Site.

Social

Calendar redesign includes better filtering, campaign management, and more interactive features

The Calendar page has been redesigned to include more intuitive features that save time, increase user productivity, and allow users to more easily manage their posts. 

Here are some highlights of the new design:

Campaign filtering and management

Campaign names are displayed on the Calendar for improved visibility. Users can click Filter Campaigns in the upper left corner to choose which campaigns to show on the Calendar, unsubscribe from a campaign, or navigate to the Campaigns page. Users can also choose whether to view only campaign posts or only single, non-campaign posts using the new checkboxes.

Interactive features

Clickable scheduling allows users to click on a timeslot to schedule a new original post or a post from the Post Library. Additionally, the improved drag-and-drop functionality enables users to easily reschedule content by network.

Users can apply a broader range of filtering options to the posts that appear in the Calendar. Options include channel, type, and status.

Encouraging action cards

New actionable cards encourage infrequent users to post more often by allowing them to subscribe to a campaign, select a suggested post, or publish an original post. The cards target users who haven’t scheduled any content in the past 30 days or who have no planned content for the next 30 days.

Relate

Set and send an Out of Office Automatic Response

A new Out of Office Automatic Response feature helps maintain communication during absences. Users can set and enable a custom reply in Hearsay Desktop or Embedded Relate for Salesforce that automatically goes out when they receive a message. The system saves and enables the auto response only if it passes a lexicon check. If a contact sends multiple messages, the system sends them just one auto response within a 24-hour period. A banner in the Message & Call page in Hearsay Desktop and in the Embedded Relate widget informs users when the Out of Office Automatic Response is enabled. Users can also turn off the auto response from this banner. 

The Out of Office Automatic Response overrides the Working Hours Response when enabled, so contacts receive only the Out of Office message.

Voice-call enabled users can choose to send calls to voicemail during Out of Office Automatic Response setup.

Users on Hearsay Mobile can view outgoing auto responses and initiate or respond to conversations, but they can't change the auto response or enable / disable it. 

This feature is off by default. To turn it on, send an email to support@hearsaycorp.com and include “Enable Out of Office Automatic Response from the November 2024 release” in the subject line. In the email, please add any relevant enablement details and any questions that you may have.

Get AI-powered recommendations in Social Insights

A new Improve your social media strategy using AI section in the Social Insights dashboard gives recommended actions for optimizing social media usage. Clicking Get a Recommendation leverages AI to analyze the user’s social media performance, compares it to their peers’ performance, and provides suggestions for improvement. Users can generate up to eight recommendations to explore alternate approaches and rate the recommendations they receive.

New Sites Editor provides customizable tabs and groups

A new Sites Editor reorganizes all content fields into tabs and groups, making it easier to find the correct field for changing content. The Sites Editor now displays all content fields, including those that were previously hidden by default to save space in the old Editor’s UI. 

Hearsay has configured each Sites org's sandbox with a new Editor customized for them. Prior to release, admins can request to change tab or group names, shift a field's placement into a different tab or group, or delay the new Editor's availability by contacting Christine Meginness (cmeginness@yext.com) by 5pm EST Friday, November 15. We can schedule a delayed release for your organization between November 18 and December 9. If we don't hear from you with requests for changes or a delay, we will enable your new Sites Editor on Monday, November 18.

Actions

Enhanced workspace filtering and sorting

The enhanced filter in the Workspace Management tab enables admins to filter workspaces by which ID Type (Action Flow Source) they either have or are missing, as well as identify which workspaces have missing Relate phone numbers. The new filters help admins see where updates are needed and gauge the level of participation for specific Actions Flows. 

In addition, admins can sort workspaces alphabetically, by last modification date, last activity, or date the workspace was last activated.

Here's what to look for in the November 18th release.

The guidance in this document is offered for early planning purposes and is subject to change up to the time of release.


Social

Calendar redesign includes better filtering, campaign management, and interactive features 

Problem Solved: The Calendar is a popular tool for users to manage their posts, but the current design is outdated and lacks efficient filtering options, especially for campaign posts. Additionally, the interface does not provide modern and intuitive features like drag-and-drop functionalities or clickable scheduling, making it more difficult for users to quickly organize and adjust their posts.

Expected Value: Enhancing the Calendar with better filtering and more interactive and intuitive features saves time, increases user productivity, and allows users to more easily manage posts.

Expected Solution: The Calendar page will be redesigned with a more intuitive layout for improved navigation, a better overview of scheduled posts, and a more modern look and feel. Below are some highlights of the new design.

Campaigns will be easier to see and manage. Campaign names will be displayed in the Calendar for improved visibility and users can click on a campaign to open the Campaigns page and manage their subscriptions.

Get better timing suggestions when scheduling posts

Problem Solved: The algorithm that suggests post times for the Recommended Times feature in the Publisher currently doesn’t take into account some important factors, such as timezones or content type. In addition, the limited rescheduling options can create a frustrating user experience.

Expected Value: More relevant scheduling time recommendations and easier post rescheduling reduces confusion and creates a better user experience.

Expected Solution: The algorithm has been revised to consider more factors when recommending times, including social network type, timezones, publish date, and content type.

Admins can now only use alternative descriptions OR @ mentions in a post

Problem Solved: When an admin creates a post with an @ mention in it, any alternative descriptions for the post also contain the mention when they’re not supposed to, among other bug behaviors.  

Expected Value: Creating solutions for working around publishing issues helps reduce user frustration and errors. 

Expected Solution: Admins can now add either @ mentions to a post, or add alternative descriptions, but cannot do both. For existing posts that contain both features, admins can either delete the @ mention or remove the alternative descriptions to avoid errors. For new posts, when one feature is used the other is automatically disabled. An informational message also appears next to the disabled feature.

Get AI-powered recommendations in Social Insights

Problem Solved: Users find it difficult to continually improve their efficiency and success with their social media activities. They don’t know how to leverage and analyze multiple data points to take the next best action for their social media strategy. 

Expected Value: Providing AI-powered recommended actions based on data that Hearsay collects will allow individual users to improve their use of social media. 

Expected Solution: A new Improve your social media strategy using AI section at the top of the Social Insights dashboard will provide recommendations for social media actions. Clicking the Get a Recommendation button in generates personalized recommendations to improve the user’s social media performance. These recommendations will be based on individual users’ social media performance as well as the performance of their peers. Users will be able to re-generate new recommendations, if they would like to pursue alternative approaches. Finally, users will be able to rate the recommendations they receive by using the thumbs-up and thumbs-down buttons.

Relate

Set and send an Out of Office Automatic Response

Problem Solved: If a user is out of office and receives a text message from a client, the client gets no automatic response letting them know that the person they are trying to reach is currently unavailable.

Expected Value: The Out of Office Automatic Response feature will reduce client frustration due to unanswered messages and help maintain communication even during periods of absence. Users will also have the flexibility to customize their automatic replies, ensuring that their messages align with their individual brand voice and communication style.

Expected Solution: The Out of Office Automatic Response feature will provide the following functionalities: 

  • Create, edit, and enable / disable the Out of Office Automatic Response on Hearsay Desktop and Embedded Relate for Salesforce. The Out of Office Automatic Response will only be saved if it passes a lexicon check.
  • Automatically send a custom out-of-office message to all incoming texts, when enabled.
  • Send only one auto-reply to a conversation within a 24-hour period.
  • View a banner in the Message & Call page on Hearsay Desktop and Embedded Relate informing users that Out of Office Automatic Response is enabled. Users can also disable Out of Office Automatic Response from this banner.

Sites Editor Refresh

Problem Solved: When Agents and Advisors want to change their website's content it takes too much time and effort to figure out and find the field that they want to update. This causes frustration and they rather abandon the interface.

Expected Value: Improved user experience and ease of use saves time for the user and potentially increases the adoption of Sites Editor.

Expected Solution:

  1. Fields are reorganized, popular ones are closer to the top.
  2. Tabs and field groups are introduced to make it easier to locate fields.
  3. Less popular fields are moved to lower level of last tabs

These changes will eliminate the need of the add/remove/hide fields functionality. Every field can be displayed in an organized way so that the user can get an overview of their website data, including the fields that were hidden by default to save space on the editor page.

Problem Solved: Currently there is no way to filter or search for workspaces by Actions Flow Sources they’re participating in, or by things that require attention like whether or not they have a missing Relate phone number. 

Expected Value: Enhanced workspace filtering and sorting capabilities will allow organizations to more easily to see where updates are needed and identify the level of participation for specific Actions Flows.

View Opt-in Status in the Form Submissions table

An additional Opt-in Status column has been added to the Sites Form Submissions table which displays each contact’s messaging consent status. The Opt-in Status column only appears for organizations that have enabled Sites and Relate. This update enhances Sites’ TCPA compliance and makes it easier to view a contact’s opt-in status.

Website name is now in the subject line of the contact form notification email

To help users with multiple websites more easily identify which website the contact form notification is for, the subject line of the contact form notification email has been updated. The new format replaces the organization name with the name of the website where the contact submitted the form.

Generate alternative descriptions in admin Suggested Post library using AI

Admins can now use AI to generate alternative versions of post descriptions in the Suggested Post library. Alternative descriptions, aka multi-voice, is an existing feature that allows admins to create multiple versions of a post description that users can choose from, which broadens the usability of a single post for different audiences and networks, and prevents multiple users in the same organization from posting the same content. 

With the new AI integration, admins can quickly create alternative descriptions by either selecting a new tone and length or by writing a prompt. This new feature is in addition to the existing manual entry method of creating alternative descriptions, and does not replace that functionality. 

To write an alternative description using AI in Administration view:

  1. In the side menu, click Create, then click New Post or select an existing post you want to add a description to. 
  2. Ensure there is already an original description for the post, click +Add Alternate Description, then click Generate With AI. 
  3. Choose either Select tone and length or Write a prompt. 

    • Selecting the tone and length applies new tone of voice and/or length requirements to the existing description and rewrites it with the new parameters. 
    • Writing a prompt allows for more concise control over what the new description includes, allowing admins to describe how to rephrase or modify the original description, plus any other parameters.
  4. Either select the tone and/or length of the new post, or write your prompt, then click Generate.
  5. The new version of the description automatically appears in the Alternate Description text box, where you can edit the description to meet your needs. 

    • If you don’t like the description, click Generate with AI again to start over.
    • To add more descriptions, click +Add Alternate Description and create as many descriptions as you need. 
  6. When you’re satisfied, continue with editing the post like normal and click Suggest Post.

This feature is ON by default for customers with Generative AI already enabled, and it will be automatically enabled in sandboxes for those customers.

Capture only outbound LinkedIn Recruiter and Sales Navigator InMail messages 

Organizations now have the option to capture only outbound LinkedIn Recruiter and Sales Navigator InMail DMs for compliance monitoring. Previously, all inbound and outbound messages were captured. This new setting allows for LinkedIn messages to better adhere to organizational compliance requirements.

To edit the setting in the Administration view:

  1. In the side menu, click Settings, then click the Organizational Settings tab. 
  2. On the Review & Archive tab, in the Social Activities section, click LinkedIn. 
  3. Under Recruiter InMail and/or Sales Navigator InMail, select either Only outbound messages or All messages. These options only appear if Recruiter InMail and/or Sales Navigator InMail are being archived.

Mobile

Send admin-created message templates from the Hearsay mobile app

Users can view, select, edit, and send admin-created message templates from the Hearsay Mobile app on iOS and Android. Admin-created message templates are available as an attachment in the message composer.

Message templates allow users to save time when sending the same message to different clients. Administrators can create templates to provide consistent messaging that aligns with their organization's best practices, and help reduce the time users spend creating the same message content. Previously, users were limited to sending templates from the web browser using Relate Desktop, however, with this release, they will now be able to access message templates using the Hearsay Mobile app on iOS and Android.

To access admin-created message templates on your iOS or Android device, be sure to update to the latest version of the Hearsay Mobile app on the App Store or the Play Store.

Relate Insights for Advisors

A new Relate Insights dashboard is available to users from the Insights page in the side menu. The Relate Insights dashboard provides data and visualizations of key business measures over a 30-day period for an individual workspace, identifies where a user’s Relate performance is better or worse than the performance of their peers, and gives recommended actions to boost client engagement. The Relate Insights dashboard provides the following measures:

  • Number of Conversations
  • Number of Appointments
  • Number of Unique Contacts Engaged
  • Response Time for missed incoming calls
  • Response Time for incoming texts
  • Number of Incoming/Outgoing calls
  • Number of Incoming/Sent messages
  • Number of New Contacts
  • Number of Contacts Opted-In

Relate Insights for Advisors


View traffic sources in the Sites Overview Dashboard

To help admins see and analyze where Sites traffic is coming from, the Sites Overview Dashboard now contains two new tiles: 

  • Visitors by Source Type: The total number of visitors from Direct, Unassigned, Organic Social, and Referral sources. These source categories are the same ones used by Google Analytics.
  • Main Source of Traffic: The percentage of visitors from the most frequent traffic source.

To allow for more granular filtering when comparing Sites performance metrics and campaigns, admins can now filter the Sites Overview Dashboard by weekly aggregates instead of monthly. To filter the dashboard for a specific week, select the desired week in the Date Range picker.

Sites advisor/agent Post Library navigation refresh

To create better parity between Sites and Social and to foster a better user experience, the Sites Post Library now matches the look and feel and functionalities of the Social Post Library. The biggest change to the library is that everything has been merged into three tabs - Explore, My Posts, and Recommended.

Explore: Contains admin-suggested posts that are available for publishing or will be released soon.

  • A new Status filter allows users to filter for currently available posts or pre-released posts that are coming soon. 
  • A new Soon label appears on pre-released posts that are upcoming. 

My Posts: Contains sections for the user’s scheduled, published, pending, and denied posts.

  • A new Campaign label on posts in the Scheduled and Published sections helps users to discern which scheduled and published posts are part of a campaign. 

Recommended: Contains six different sections of AI-powered post recommendations. For more information about each section and how the posts are found, see AI-Powered Content Recommendations. The sections include the following:

Allow delegates to conceal messages

Delegates can now be given the permission to conceal messages in Relate. Concealing messages allows users to hide personally identifiable information or other kinds of sensitive information and maintain compliance with their organization’s policies. Previously, only workspace owners were able to conceal messages, however, with this release, delegates can also be given the permission to conceal messages.

This feature is off by default. To turn it on or to request a sandbox preview, send an email to support@hearsaycorp.com and include “Enable Allow delegates to conceal messages, March 2024 Release” in the subject line. In the email, please add any relevant enablement details as well as any questions that you may have.

Hide or show lexicon violations in the Sites Event Publisher

The existing Display Lexicon Violations admin setting now applies to the Sites Event Publisher. The setting allows admins to enable or disable the user’s ability to see a list of lexicon violations when creating an event. Previously, the setting applied to the Post Publisher, but the Event Publisher always showed lexicon violations with no way to disable them.

When enabled, users see a list of terms that violate the organization’s lexicon within the post or event they are creating.

To configure the setting in the Administrative view:

  1. In the side menu, click Settings.
  2. Under Organizational Settings, click the Lexicon tab.
  3. Change the Display Lexicon Violations setting to Enabled or Disabled.

Create a Generative AI post description from a prompt

After clicking New Post with AI, users can now choose whether to create description text using words and phrases (current way), or by writing a prompt. Prompts allow users to generate text based on questions or commands, similar to how most generative AI tools work. Unlike words and phrases, prompts support non-English languages and descriptions are returned in the same language as the prompt.

Example prompts that might generate useful result are:

  • Why is property insurance important during the winter season? 
  • Write a short social post about the need for property insurance in winter.
  • Write a post about winter, snow, and property damage in four sentences or less.
  • Write a Facebook post about wealth, savings, and preparing for the future.

After the user clicks Generate Post Description, the tool functions the same way it has in the past. Hearsay sends a prompt to Jasper, our secure third-party AI partner, with the specified requirements, and the engine sends back three descriptions for the user to choose from. Hearsay never sends customer data to Jasper, we only send the specifications for the post description.

This feature is off by default for customers who have already enabled Generative AI. Admins can enable Prompts in the Administrative view of Hearsay Desktop by doing the following:

  1. In the side menu, click Settings.
  2. Under Organizational Settings, click the AI tab. 
  3. Change the setting Allow Writing a Prompt with AI to Enabled.

Compliance admin note in Supervision 

Publish multi-image posts on Instagram

Hearsay now supports multi-image publishing on Instagram, allowing users to post up to 10 images at once. The images published from Hearsay will appear as a carousel post on Instagram.

X (formerly Twitter) API v2.0 roll-out

X (formerly Twitter) has announced the deprecation of the v1.1 API and now requires all API partners to transition to v2.0. As a result, certain Twitter functionalities in Hearsay have changed:

  • Profile field management is no longer supported and users can only edit profile fields in X. Profile fields for X can still be added in Hearsay and compliance admins can still review and approve changes, but users must manually copy approved profile field content into their X account profile. Archiving of profile data remains unchanged.
  • X Social Signals (Opportunities) have been deprecated and are no longer available. The Social Signal setting in the Admin view is set to Disabled for all customers and cannot be edited.
  • Compliance monitoring now includes a daily download of social data.
  • The history range for saving social engagements such as likes, comments, and reposts has been set to 7 days after publishing.
  • Reposts (formerly retweets) no longer generate individual activities in the archives. Only the number of reposts is saved for each post.

In order for changes to take effect, Hearsay users with a connected X account must re-authenticate their X accounts in Hearsay. Affected users have received a notification instructing them to reconnect X on their Home page. 

Content of original posts reposted on LinkedIn is now archived by default

When a user reposts a LinkedIn post and selects Repost with your thoughts, the content of the original post that the user shared is now automatically saved to the activity archives for all organizations by default. Previously, organizations had to contact Hearsay to enable this functionality.

Note: If a user selects Repost without adding their own text to the repost, the post is not archived.

Testimonials for Sites

Testimonials for Sites allows users to automatically publish all of their newly approved Facebook Reviews and LinkedIn Recommendations on their websites. Testimonials helps build trust and increase conversion rate by showcasing proof of positive client experiences in a way that is compliant with SEC regulations. 

Testimonials for Sites is only available to organizations that have enabled the New Marketing Rule testimonial feature and who also use a compatible website template.

This feature is off by default. To turn it on, send an email to support@hearsaycorp.com and include “Enable Testimonials for Sites from the February 2024 Release” in the subject line. In the email, please add any relevant enablement details pertinent to your organization as well as any questions that you may have.

Generative AI post and enablement reporting

To give admins more insight into usage metrics and the success of AI for social media engagement, the Post All Data report now has a GenAI supported column. The true/false values indicate whether the text description of the post was created using Generative AI. Admins can use the column to filter for Generative AI posts and check their performance against manually created posts.

Additionally, in order to allow admins to more easily view and manage Generative AI access at the workspace level, the Workspace Directory report now has a GenAI enabled column. The true/false values in the column indicate whether the Generative AI feature has been enabled for users in the workspace.

Localization of admin dashboards

To create a better user experience for admins who prefer a language other than English, all the text on admin dashboards and the headers on the embedded reports within dashboards are now shown in the language configured by the admin in their user settings.

User Maturity Model's Say Score is enhanced with clicks engagement data

The User Maturity Model’s Say Score and correspondingly, the User Maturity Model admin report, is enhanced with data on clicks. Previously, the Say Score only included data on likes, comments, and shares/reposts. Now, all types of engagement data that Hearsay archives and creates reports on is accounted for in the Say Score, including clicks. The following engagement data from supported social media networks is used in calculating the Say Score:

  • Facebook: likes, comments, shares, and clicks
  • LinkedIn: likes, comments, and clicks
  • X (formerly Twitter): likes, reposts, and clicks
  • Instagram: likes and comments

This update to the Say Score will also be backdated to ensure that Year-over-Year and Month-over-Month analyses are accurate.

The User Maturity Model admin report now includes a new Workspace Owner Email field. This new field makes it easier for admins to track down and contact individual workspace owners.

Alerts Summarized by Keyword admin report now includes a Description field

The Alerts Summarized by Keyword admin report now includes a new Description field that shows the compliance terms behind Regular Expression (RegEx) definitions. The Alerts Summarized by Keyword report can have Regular Expressions (RegEx) terms in the Keyword field, making it very difficult to identify and analyze those terms. By showing the compliance terms behind the RegEx definitions in the new Description field, admins will be able to flag concerns with certain terms or determine the effectiveness of others.

Auto-subscription column added to the Dynamic Relative Campaign Overview report

Admins can now see which campaigns have auto-subscription enabled, allowing them to see which campaigns they need to configure auto-subscriptions for or gain insight into which campaigns they can encourage users to auto-subscribe to when the functionality is enabled. The Dynamic Relative Campaign Overview report now has a Auto-subscription column with enabled/disabled values, which indicate whether auto-subscription is enabled for a campaign.

Create a Generative AI post description from a prompt

Problem Solved: With the current Generative AI function, users have to provide words and phrases they want to include in the text of a post description, but cannot write a prompt, which is how most generative AI tools commonly work. 

Expected Value: The new Generative AI prompt feature will give users the option to more freely generate text based on questions or descriptive commands of what they are trying to write. 

Expected Solution: After clicking New Post with AI, users will be able to choose whether to create description text using words and phrases (current way), or by writing a prompt. Prompts can be questions or commands, and include the main subject(s) of the post and, optionally, the approximate length.

Example prompts that can generate useful result are:

  • Why is property insurance important during the winter season? 
  • Write a short social post about the need for property insurance in winter.
  • Write a post about winter, snow, and property damage in four sentences or less.
  • Write a Facebook post about wealth, savings, and preparing for the future.

After the user clicks Generate Post Description, the tool will function the same way it currently does. Hearsay sends a prompt to Jasper, our secure third-party AI partner, with the specified requirements, and the engine sends back three options for description text. The user selects a version and copies it into the Post Publisher where they can add images and links or make edits before publishing. Hearsay never sends customer data to Jasper, we only send the specifications for the post description.

Testimonials for Sites

Problem Solved: Testimonials are helpful for fostering trust and credibility; however, there is not currently a way to display testimonials on Hearsay websites that is compliant with SEC regulations, and approved testimonials from social media platforms cannot be shared to Hearsay websites.

Expected Value: Displaying compliant testimonials provides proof of positive client experiences, which can attract new clients and drive the conversion rate of the website.

Expected Solution: Testimonials for Sites, available for the newest version of Sites, enables users to share their approved Facebook Reviews and LinkedIn Recommendations on their websites to build trust and increase conversion rate.

To show approved testimonials on websites, the following must be true:

  • The New Marketing Rule testimonial feature must be enabled by an admin.
  • The Testimonials on Sites feature must be enabled for the organization via Hearsay Support.
  • The user must have a website template that supports displaying the testimonials.

This feature automatically pushes all the approved testimonials to the website.

Problem Solved: The Say Score in the User Maturity Model includes engagement data, such as likes and comments, but does not include other types of engagement data, such as shares/reposts and clicks. This gap makes the Say Score a partial measurement because important types of engagement data are not taken into account.

Expected Value: Improving the types of data considered by the User Maturity Model will increase the value of the report as well as help businesses measure social media usage with more accuracy.

Expected Solution: The User Maturity Model and correspondingly, the data in the User Maturity Model admin report will be enhanced with data on shares/reposts and clicks. All types of engagement data that Hearsay archives and creates reports on will be included in the User Maturity Model’s model Say Score. Link to site-specific Insights page

Users can now navigate to site-specific data for each website listed on their My Websites page. When a user clicks the new Go to Sights Insights link next to a specific website on the My Websites page, the Insights page opens and automatically filters for data for the specified website instead of showing aggregated data for all websites in the workspace. This enhancement allows users to get data for a single site more easily with one click rather than filter for it.
